How to Use & Why It Matters

How it Works

Step 1: Enter your ship's name and select your exact Sign On and Sign Off dates. The tool automatically handles the day counts, typically inclusive of both dates.

Step 2: Click Add Entry to save the period to your running record. You can manage unlimited vessel entries for your entire sea career.

Step 3: Review your Total Accumulated Sea Service at the top. It provides a breakdown in years, months, and days for professional reference.

Step 4: Once complete, use the Export Report section to generate a personalized PDF or high-quality JPEG document.

Professional Utility

  • License Applications: Precise sea time is critical for COC renewals and upgrades (MCA, USCG, DG Shipping, IMO standards).
  • Sea Service Record: Maintain a clean, digital backup of your physical discharge book and service certificates.
  • Career Planning: Know exactly how many more days you need for your next rank or certification milestone.

Pro Tip

“Always verify your Sign Off dates against your official stamps before exporting your final report.”

What is accumulated sea service?

Accumulated sea service is the total calendar time a seafarer has spent working aboard vessels, calculated continuously across all contracts and multiple ships. It is measured in years, months, and days and serves as the primary eligibility criterion for officer certification under STCW (Standards of Training, Certification and Watchkeeping) regulations adopted by the IMO. Flag state administrations — including the MCA (UK), USCG (USA), MARINA (Philippines), and DG Shipping (India) — all require precise, verifiable accumulated sea service to process Certificate of Competency (COC) applications, endorsements, and upgrades.

How this calculator works

  1. Enter each vessel: Input the ship name, your rank or capacity, and the exact Sign On and Sign Off dates as they appear in your discharge book or service certificate. The calculator counts days inclusively — both the sign-on and sign-off date are included, which matches standard maritime industry practice.
  2. Add unlimited entries: Click Add Entry to log each contract. There is no limit — you can document your full career history across all vessels, flags, and employers in a single session.
  3. Review your running total: The summary panel updates in real time and breaks your total into years, months, and days. This format matches the notation used on COC applications and STCW documentation.
  4. Export your record: Generate a printable PDF or JPEG service summary. While this document is for personal reference only and does not replace certified discharge book records, it is useful for pre-filling applications and cross-checking with your employer's records.

Why sea service calculation matters

  • COC applications and upgrades: Most flag state administrations use a minimum sea service threshold — for example, STCW Regulation II/2 requires at least 36 months of approved seagoing service for a Master's Certificate of Competency. A single missed day can delay an application by weeks.
  • Pension and employment contracts: Accumulated sea service determines seniority bands, pension entitlements, and salary brackets under ITF-compliant CBA agreements and POEA-standard employment contracts (for Filipino seafarers).
  • Verification before submission: Administrative errors in discharge books are common — especially for seafarers who have worked across multiple manning agencies. Calculating your own total before submitting to the flag state lets you identify discrepancies early.
